How to make a timesheet

Timesheets that hold up at approval and at audit

A timesheet only matters when someone challenges it — a client questioning a bill, an auditor sampling payroll, a dispute over site hours. What makes it defensible is boring detail: a defined period, one line per day with a real description, hours that total correctly and two signatures. This maker gives you exactly that, with the amounts calculated as you type.

Consultancies bill from it, contractors track site labour with it, and agencies use it to reconcile retainer hours. Everything stays in the browser and exports as a branded PDF or a printed sheet for wet signature.

  • Line-by-line entries with date, task, project code, hours and rate
  • Automatic total for billable amounts and a clear hours column
  • Employee, project and period fields printed in the header
  • Employee and approver signature blocks for wet or scanned sign-off
  • Branded PDF export to attach to an invoice or payroll record

How to fill in a project timesheet

  1. 1

Set the period and the person

Enter the week or month covered, the employee or contractor name and the project the hours belong to.

  2. 2

    Log each day's work

Add one line per day or per task with the date, description, hours and rate where you bill by the hour.

  3. 3

    Check the totals

Hours and billable amounts total automatically, so a wrong figure is visible before the sheet is signed.

  4. 4

    Get it approved and export

Print or export the PDF for the supervisor and client signatures, then use it to support your invoice or payroll entry.

Frequently asked questions

What should a timesheet include?+

A timesheet should show the person, the period covered, the project or cost code, the date and description of each entry, hours worked, any overtime split, the total hours and a space for the employee and approver to sign.

Do UAE employers have to keep time records?+

Employers in the UAE are required to keep records of working hours, overtime, leave and wages for each employee, and to observe the working-hour and overtime limits set by the labour law. A dated, signed timesheet is a practical way to hold that evidence.

Can I use a timesheet to bill a client?+

Yes — that is the most common use for professional services. Have the client representative sign the timesheet, attach it to your invoice, and reference the timesheet number on the invoice line so the approved hours and the billed hours match.

How do I show overtime separately?+

Add a line for the overtime hours with the applicable rate in its own row, or use the description column to mark the entry as overtime. Keeping it on a separate line makes the premium visible to whoever approves the sheet.
