How to prepare a packing list

Packing lists that survive a customs inspection

A packing list answers one question for every party in a shipment: what is in this box? Carton number, contents, quantity, net and gross weight, dimensions. When it agrees line for line with the commercial invoice, inspections are quick; when it does not, the container waits.     Quote the commercial invoice number, buyer PO and container or booking reference so documents tie together.

    One line per carton or pallet with its number, contents, quantity, net and gross weight and dimensions.

    Give totals for packages, net weight, gross weight and CBM — the figures your forwarder quotes from.

Frequently asked questions

What is a packing list used for?+

A packing list tells customs and the consignee exactly what is inside each carton or pallet, with weights and dimensions. Customs uses it for physical inspection, the forwarder uses it to plan loading, and the consignee uses it to check the delivery against the invoice.

Should the packing list match the commercial invoice?+

Yes — the quantities, descriptions and shipment references must agree. Discrepancies between the invoice and packing list are a common cause of customs inspection delays and of documentary discrepancies under a letter of credit.

What is the difference between net weight and gross weight?+

Net weight is the goods alone. Gross weight adds the packaging, pallet and any dunnage. Carriers charge on gross weight or volumetric weight, so both figures belong on the packing list.

Do I need dimensions and CBM?+

For LCL sea freight and air freight, yes: the carrier calculates chargeable weight from volume, so cartons dimensions and total CBM affect your freight cost. For full-container loads they are still useful for load planning.
