Key takeaways

  • Label Ghana cedi amounts GHS; do not rely on an unexplained currency symbol.
  • Use the invoice to bill and the receipt to confirm an actual payment.
  • Record deposits and outstanding balances so the final request does not charge twice.
  • Consult Ghana Revenue Authority guidance for VAT and certified electronic invoicing.

Build a sales file a customer can follow

A quote answers 'what will this cost?'; a purchase order records what the buyer agrees to buy; an invoice sets out the amount billed; a receipt confirms money received. A proforma may set out a proposed supply or advance request, but should not be confused with confirmation of payment. For a consultancy engagement, retain the agreed scope and acceptance email alongside these financial records.

GHS example: deposit and final payment

Fictional example: an Accra supplier agrees to sell five office desks at GHS 1,200 each, with GHS 300 for delivery. The commercial subtotal is GHS 6,300 before applicable tax. The parties agree to an advance of GHS 2,000. If that amount has been received and credited against the same tax-exclusive commercial subtotal, GHS 4,300 remains against it; any tax and other adjustments must be reconciled separately. Show the basis clearly rather than calling an incomplete calculation the final balance.

  • Quotation QT-GH-031 sets out the desks, delivery destination and approval deadline.
  • Proforma PI-GH-031 can explain the proposed advance and how it will be credited.
  • Receipt RC-GH-082 records only the GHS 2,000 actually received and its transaction reference.
  • Final invoice identifies the completed supply and transparently reconciles deposits and applicable tax.
  • Final payment receipt refers back to the invoice and states the actual amount received.

A mobile-money or bank-transfer reference can help reconcile payment. Do not publish a customer's full account credentials or unnecessary personal identifiers on a document.

Consultants and suppliers: make the scope specific

A service business should describe the period or milestone being billed: 'two training workshops and participant materials' is easier to approve than 'consulting'. A trading business should identify the supplied product, quantity, unit and delivery commitment. If an installation charge is excluded, say so before the buyer approves the quote. Where the price is conditional on a site inspection, explain that condition rather than presenting an uncertain figure as final.

  1. Ask the purchasing contact for the correct billing name and PO reference.
  2. Agree the scope, dates and payment stages in writing.
  3. Keep revisions identifiable; do not give two different offers the same ambiguous reference.
  4. Use a company profile to describe real services and completed work, not to claim unverified approvals.
  5. Retain the delivery acknowledgement or milestone approval with the invoice and receipt.

Ghana tax documentation is a separate check

The Ghana Revenue Authority publishes guidance on VAT and its certified invoicing system, E-VAT. Before treating an ordinary commercial PDF as a statutory tax invoice, check what applies to your business and which authorised process must be used. A branded invoice maker does not establish eligibility to charge VAT or replace a prescribed electronic-invoicing process. No tax rate or registration threshold is assumed in this example.

DocMak helps you prepare professional business documents; it is not a tax-authority invoicing system, a company-registration service or an officially approved compliance product. Free creation and downloads remain subject to the existing account and usage limits. Use your applicable tax treatment, not a template's sample rate. Currency selection labels the amounts you enter; it does not convert them.

Create a document, then verify the payment record

In DocMak, start with the quotation or invoice tool and choose GHS. Replace sample business and buyer details, enter each agreed item and review the total. Prepare the payment receipt only after checking the money has arrived; identify whether it is a deposit, instalment or full settlement. For save and reuse, a free DocMak account is available under the existing plan limits.

Use the linked tools for the appropriate stage rather than renaming a receipt as an invoice. The receipt-format guide below explains partial payments and the distinction between a payment record and a bill.

Frequently asked questions

Which currency should I choose for a Ghana cedi invoice?

Select GHS and enter the agreed amounts in Ghana cedi. Currency selection does not convert the amounts.

Can I give a receipt for a deposit?

Yes. State the amount actually received, that it is a deposit, its reference and how it relates to the order. Reconcile the deposit on the final billing record.

Does a DocMak invoice replace Ghana's certified invoicing system?

No. Check Ghana Revenue Authority guidance and the requirements applicable to your business before using a document for VAT purposes.
