1. Work completed this period

Measured survey completed across all three warehouses. To-be process design issued and approved on 31 March after two review cycles. Hardware order placed with a six-week lead time.

2. Work planned next period

Begin scanning workflow configuration, obtain ERP API credentials, confirm training dates with the two nominated key users and mobilise for Warehouse 1 installation.

3. Issues

Design approval slipped four days pending client comment (closed). Network coverage gap confirmed in Warehouse 3 — priced as a variation and awaiting client approval; owner: client IT, due 10 April.

4. Risks and mitigation

Hardware lead time could compress testing — mitigate by starting configuration on the staging environment. Key-user availability during peak season — mitigate by splitting training into two half-day groups.

Report notes

Percentage complete is calculated on weighted deliverables against the baseline plan. Variations noted above are subject to written client approval before execution.

How to write a progress report

Progress reports that keep the client informed and the record straight

A progress report is the running record of a project. Read in sequence, a good set of reports explains every date change, every variation and every open risk — which is exactly what you need when a final account is questioned. This maker keeps the standard structure: status and percentage complete, work done, work planned, milestone table, issues and risks, all editable and printed on one branded sheet.

Contractors, consultants and internal PMOs across the UAE and GCC use it as the weekly or monthly report that feeds payment applications and steering reviews.

  • Overall status and percentage complete in the document header
  • Milestone table with baseline date, actual or forecast and status
  • Separate sections for work completed, work planned, issues and risks
  • Space for hours, quantities or spend recorded in the period
  • Branded PDF export for sponsors, steering packs and payment applications

How to write a project progress report

  1. 1

State the period and overall status

Name the reporting period and give one honest headline: on track, at risk or delayed, with percentage complete.

  2. 2

    List work completed and planned

Separate what actually finished this period from what is planned next, phase by phase.

  3. 3

Report issues and risks with owners

Every issue needs an owner and a date. A risk without a mitigation is just bad news.

  4. 4

    Attach evidence and circulate

Add milestone status and hours, export the PDF and send it to the sponsor on the same day each period.

Frequently asked questions

What goes in a project progress report?+

A progress report covers the reporting period, overall status and percentage complete, work completed in the period, work planned for the next period, milestone status against the baseline plan, open issues with owners and dates, risks with mitigations, and any change requests or claims raised.

How often should progress reports be issued?+

Weekly for fast-moving site or delivery work, monthly for longer programmes and for reports that feed client payment applications. What matters most is a fixed day: a report that arrives on the same day each period gets read, an irregular one does not.

How do I calculate percentage complete?+

Use a rule you can defend and state it on the report — weighted deliverables completed, milestones achieved against the baseline, or measured quantities installed. Do not mix methods between periods, because the trend is more useful than the number.

Should bad news go in the progress report?+

Yes, with a mitigation and an owner. A delay reported early with a recovery plan is a manageable project event; the same delay discovered at handover becomes a claim. Keep the tone factual and dated.
