Key takeaways
- Rechnung means invoice; Angebot means quotation.
- BMF distinguishes structured E-Rechnung from ordinary PDFs.
- Domestic B2B requirements include exceptions and transitions.
- DocMak's GCC XML is not a German e-invoicing product.
E-Rechnung is not simply an emailed PDF
The German Finance Ministry's FAQ explains structured E-Rechnung and domestic B2B rules introduced from 1 January 2025, with exceptions and transitional provisions. Private consumer transactions are outside this domestic B2B regime. Check the current BMF FAQ for the transition, business circumstances and acceptable format; the start date does not mean every business already has identical issuance obligations for every sale.
Official BMF material reviewed for this resource on 17 October 2026. Requirements are time-sensitive. An ordinary PDF or unrelated XML file does not establish that a German structured-invoice requirement has been fulfilled.
EUR supplier example: connect Angebot, order and billing
Fictional example: a Hamburg supplier offers four fixtures at EUR 420 each, plus EUR 120 delivery. The net commercial subtotal is EUR 1,800 before applicable tax. The Angebot names specification, delivery commitment and validity. The customer then issues a PO for the accepted goods; keep that reference with the receiving record and statutory invoice.
- Quotation: agree specification, unit prices, delivery and exclusions.
- PO: confirm approved value, quantities and receiving contact.
- Delivery record: state actual quantities and any discrepancies.
- Invoice inputs: gather seller/buyer details, supply dates and references.
- Statutory issue: use the applicable structured format and channel where required.
Consultants can retain deliverable acceptance instead of a goods receiving record. A company profile helps introduce capacity and experience; it is not business registration evidence or an invoice. Use authentic qualifications and permission-cleared project material.
What not to promise with a template
DocMak provides EUR selection and an editable identifier and tax rate, but no German structured-invoice validation or submission. The UAE/KSA-oriented UBL export must not be advertised as XRechnung or compliant ZUGFeRD output. Prepare quotations, POs and draft invoice inputs here, then use a suitable system for statutory output and retention when required.
If a German customer requests an E-Rechnung, clarify format and delivery channel before sending a PDF. Verify exceptions or transitions with BMF guidance or professional advice; small business status should not be assumed to remove every obligation.
Prepare the document, then check before sharing
- Replace sample seller, customer, bank and tax details with verified information.
- Choose the agreed currency before entering amounts and check every displayed currency label.
- Confirm registration and supply treatment before setting tax; do not keep the GCC sample rate by default.
- Review invoice number, supply and issue dates, buyer references, quantities, discounts, rounding and payment due date.
- Preview and review the downloaded document. Use the appropriate invoicing system for mandatory fields or tax treatments the editor cannot express.
DocMak prepares commercial documents, not officially approved local tax invoices. Its invoice editor currently has GCC country presets, a single editable tax rate and VAT-labelled totals. Currency and GST/VAT identifiers alone do not establish compliance. Use an appropriate system wherever additional particulars, structured invoicing or reporting are required. Currency selection does not convert amounts. Creation, downloads and free-account reuse remain subject to existing plan limits.
Frequently asked questions
Is a normal PDF an E-Rechnung?
An ordinary visual PDF is not a structured E-Rechnung. Check BMF's definition and the applicable transaction requirements.
Does DocMak export XRechnung?
No German structured-invoice product or validation is currently provided. The GCC-oriented XML is not a substitute.
Can I make a EUR quotation?
Yes. Use the quotation tool for an Angebot and keep approved scope and customer references.
